If you have forgotten your password or you're logging in for the first time, you can access the password reset view by clicking on the "Forgot password" link. You can read more about logging in from this link: Logging in

If you have any problems logging in, you can contact our customer service by pressing the "Customer care" button.

1. Home screen

After logging in, the user is taken to the home screen, through which you can start your Work-time clock, record hours for clients and assignments, or switch to the Timesheet view. It is also possible to change the Koho environment from the top of the page if the user has access to more than one different Koho environment. You can log out from the top right corner of the page.

2. Work-time clock

If you track your working hours with the Work-day clock, you can start it by pressing the start button on the right side of the Work-day -type that measures working time (e.g. at work). The names of your company's job types may differ from the examples.

The job type becomes active and Koho starts clocking time for it. To add a comment to a recording, tap the comment field, insert the comment, and tap outside the field to exit.

To stop the Work-day clock, press the "Stop" button.

The "+" -button of the Work-day -type can be used to create one-time entries for a selected date, for example, if an employee has forgotten to start their Work-clock.

One-time entry must include at least a date and the starting time. If the end time is left blank, the entry is transferred to the users home screen as an active hourly entry. If the start and end times both are set, they will create an hourly entry for that date based on them.

3. New session

To create a new session (active hourly entry for a client), select "+ Add a session" from the home screen.

In the search field, first enter the name of the customer for whom the session will be created and select the customer from the list. Set a date and task for the session, and if needed, you can also assign the session to an assignment if your company uses assignments.

Set a start time for the session and, if necessary, an end time if it is known in advance. You can also add invoice description and internal description, products (more on adding products below), and files.

Finally, press "Save", after which hours will start to accrue.

To close the window, press "Cancel" or press the arrow button in the upper left corner.

Adding a product to a session

You can add products to the session by pressing the "+ Product" button. Search for a product in the drop-down menu, and check the price and quantity of the products. If needed, you can also add an invoice description for the product.

After you save the session, the information for the active session is displayed at the bottom of the interface, where you can edit the session by pressing the edit-icon on the right. To end the session, press the "Stop" button.

4. Timesheet

In the Timesheet view, you can clock the time for the tasks you select, and add separate sessions for the tasks. The view lists all the tasks created for that day. To navigate between days of the week, press the number below to the day of the week. The calendar button in the upper right corner takes you to the calendar view, where you can easily search for a specific date. The "All confirmed" message in the lower right corner indicates that you have no unconfirmed entries.

Start using Timesheet by adding the tasks for which you want to clock hours. To add a task to the Timesheet, click the "Add Tasks" button.

Adding a task to Timesheet

From the project list that opens, you can select the tasks you want. You can use the search box to narrow your project listing by customer, project, or task name. Click the project row to open a list of project tasks and select the tasks you want to add to the Timesheet by clicking the checkbox on the right. Once you have selected the tasks you want, press the "Add Selected" button. To exit the view, press the "Cancel" button.

If there is only one task to add, you can create a session for that task directly when you add it. Otherwise, the tasks are added directly to the Timesheet.

Using tasks

Once the tasks have been added to the Timesheet, you can start clocking hours for them. Pressing the "Start clocking" button will take the active session to the home page. Pressing the "+ Add session" button you can add a new session for that task.

You can stop active session by pressing the "Stop"-button. You can edit the active session by pressing the edit icon on the right side of the session.

In the edit mode, you can edit the information associated with the session, such as the date, task, or the assignment (see section 3. New session). After making the necessary changes, press the "Save" button. The session can also be deleted from the "Delete" button at the bottom of the view.

If your tasks have unconfirmed sessions, you can confirm them by clicking the "Confirm" button, after which they can be invoiced.

5. GPS-tracking of Work-time clock and session entries

If your company uses GPS tracking of Work-time clocking or sessionsand requires GPS tracking of its employees, then location tracking should be enabled according to your company's instructions if Koho Mobile requests location permission.
