Product categories, product bundles and tags are tools for managing your products. In this article, we’ll go through how to create and use them. Categories, product bundles and tags are found on the "Products" page from "Settings".  




Product categories 

Product categories are a tool that you can use to sort your products by categories. This is useful both for reporting purposes and for organising the products so that they are easier to find and use. One product can belong to only one category at a time. 


How to create a product category?  

You can create a new category by clicking the "+Product group" button on the "Categories" page. 




Next, you can set following definitions for the category: 

  • NameGive the product group a descriptive name 

  • DescriptionYou can give the category a description if needed 

  • Parent categoryYou can give the category a parent category and the category will be shown under this category in the product listing  

  • Add imageyou can add an image to the category by clicking the "+File" button 


Thenchoose the products you want to include in this categoryFinally click "Save" to create the new category. Now the category can also be added to new products as you create them.




How to edit or delete a category? 

If you want to edit or delete an existing product category, click the category name on the product listing or go the "Categories" page and click the category. 



In the edit window you can edit the category or delete it by clicking the "Remove" button. Deleting a product category will move its products to "Uncategorized" group.


Product bundles 

Product bundles are product entities that can be added to offers, contracts, invoices or work shifts. You can add products and define their prices and quantities. Product bundles are especially useful if your company offers products that are related to each other. 


How to create a product bundle? 


You can create product bundles from "Product bundles" tab on the "Products" page. Click the "+Bundle" button. 




On the first page, give your bundle a name. You can also give a description, if needed. Then switch to the "Products" tab.  




Click the "+Add product" button to select products for this bundle. You can use the search box to find products. Click the "+" button next the product to select it. You can also add existing product bundles. After you have selected all necessary products, click the "Add selected products" button. 




Now you can make changes to prices and amounts for the products you have selected.



If you click a product row, you can make additional choices for the product. You can define a name, invoice description, internal description, VAT percentage, cost, price for term and discounts (if you click the % symbol, it changes to €).




You can also add headers and groups to the bundle by clicking the buttons on the top of the page. Headers and groups are not visible on invoices, so we recommend using them only with offers and contracts. If you want to delete a product from the bundle, click the delete symbol on the right side of the row.


Finally click the "Save" button to create the bundle. Now you can find the product bundle from product menus.



 

Tags 

Product tags can be used in reporting to group products. They can also be used to inspect what products you have on contracts. They differ from categories in that one product can have several tags, but only one category. Therefore, with tags you can group your products in many ways for reporting purposes.   


How to create a tag? 

First, go the "Tags" tab on your "Products" section and click the "+Tag" button.


 

In the new window give the tag a name and a description and then choose which products belong to it. You can use the select all option to add all products in a category. Finally click "Save" to create the tag.

 

How to edit or delete a tag?

Go to the "Tabs" page and click the tag's name. This opens an edit window where you can make changes to the tag or delete it. Remember to save if you made some changes.



Tag view


If you click the "Show tag" button on the tag form, you can see a summarised view of the tag. In this view, you can quickly see how many products and services (periodical products) belong to the tag. In the table you can see what these products are and their price. You can also see their sales data and what other tags they have. 


If you have products into contracts, you will see a new table which shows the sales records and their contracts. 



Tag matrix


If you have a lot of tags and products, it can be easier to view and check them on the tag matrix which you can find on the Tags tab. Clicking the "Matrix" button will open the matrix to a new window. 




On the matrix you can easily see your tags and products that have them. By clicking the product / tag cells you can add or delete the tags.
