You can edit sessions from several reports in Koho but the most convenient way to edit sessions are the "Billable hours" and "Cumulative hours" reports.
1. Editing sessions from the "Billable hours" report
You can edit your company's billable hours by choosing the "Billable hours" tab from the "Reporting" section. There you can see all billable sessions that your employees have made. It is possible to filter the sessions by time, customers, projects, tasks, employees, invoice status, accounting targets, responsibles and products. All filters affect the sessions that are shown on the report: if it seems that some sessions are missing, check the filters.
You can view and edit the sessions from the different tabs of the report:
- Customer - On this tab you can see sessions grouped by customers. When you click a customer, you can see the sessions grouped by tasks and employees. Click a task or an employee, and you will see a list of all sessions that were tracked for the task or employee. Click the session you want to edit.
- Project - On this tab you can see sessions grouped by customers and projects. Choose a row, and then click the desired task. This opens a list of all sessions for the task, project and customer. Click the session you want to edit.
- Month - On this tab you can see sessions on a monthly level divided into internal, contractual and billable types. Click the type of session you are looking for which opens a list of all sessions for that type. Click the session you want to edit.
- Employee - On this tab you can see a summary of sessions grouped by employees. If you click an employee, you can see a list of all sessions (that fit within the filters) the employee has made. Click the session you want to edit.
- All sessions - On this tab you can see all sessions that fit to the applied filters. Click the session you want to edit.
After you have opened the session you want to edit, go to the "Session edit window" part of this article.
2. Editing sessions on the "Cumulative hours" report
You can edit sessions on the "Cumulative hours" report by choosing the desired employee and month, and then click the day the session was made. On the new window you can see a list of all sessions the employee has made for that particular day.
Click the session you want to edit. Then follow the instructions on the "Session edit window" part of this article.
3. Session edit window
On the edit window you can make the following changes to the session:
- Date: You can change date for the session.
- Time: You can change the start and end time. Koho calculates new values to the "Hours" and "Int." fields.
- Hours: If needed, you can change the value in the "Hours" field (billable or contractual hours that are shown on the customer's invoice).
- Int.: You can also change the value on the "Int." field.
- Customer:
- You can add a comment to the customer from the "+Comment" link. The comment is shown on the customer card.
- You can also change the customer from the edit symbol next to the customer's name. Find the customer from the search bar.
- Task:
- + other projects: You can search for the customer's other projects from the "+ other projects" link above the task selection.
- You can change the task from the dropdown menu.
- Invoice description: You can edit the invoice description that is shown on the customer's invoice.
- Internal comment: You can also edit the internal comment that is shown on e.g. for the biller.
- Rate level: You can change the rate level from the menu.
- Rate: Here you can enter the price per hour. If you click the "€/h" symbol you can change the session to be contractual and not billable.
- Hourly cost: Here you can edit the hourly cost for the session,
- Assignment: From this menu you can choose the assignment this session is allocated to. If you click the blue "+ closed" link you can also choose an assignment that has been marked as completed.
- Accounting target: You can change the accounting target for the session.
- Attachments: You can add attachments by clicking the blue "+add" link and then choosing the file you want to add.
- Adding a product From the dropdown menu you can choose a product that is added to the session. After you have selected the product, you can make further definitions for it.
- Save: You can save the changes by clicking the "Save" button.
- Delete: You can also delete the session by clicking the "Delete" button.
- Return: From this link you can return the session to the employee who has added the session. The session is returned to the employee's "Unconfirmed" tab. You can also add a comment as you return the session.
