1. Editing a task template
You can find task templates from "Settings" on the "Timetracking" tab. Click the task template you want to edit.
From the preview window, click the "Edit" button.
2. Adding, editing or deleting tasks from a task template
On the "Tasks" tab of the task template, you can add new tasks by clicking the "+New" button. You can read more about the definitions for a task from this article 3.4.1 How to create a task template?. Note that the product you are going to use as a basis for invoicing should already have been created at this point. If you want to make changes to an existing task, you can make them directly on the task row. Click the "Optional settings" link if you need to make changes to these settings.
You can delete tasks by clicking the trash can icon on the task row. Note that if you delete a task from a task template, it is not automatically deleted from projects where sessions have been tracked to the task. If a task already has sessions, we recommend hiding the task instead of deleting. You can hide the task by choosing the "Hidden" option. Then the task is moved under the "Hidden tasks" category and it is no longer active when using the task template. Hidden tasks don't lose their settings and they can be returned to active state at any time.
After you have saved the changes, you can choose which projects are updated.
3. Accepting changes
After you have saved the changes for the task template, Koho goes through all of the projects that have this task template and checks for changes. In this view you can see differences between the projects and the updated task template.
You can accept all changes to all projects from the "Update all" button. You can also accept the changes one by one from the smaller "Update all button". If you click a row, you can choose the projects you want to update one by one if there are some projects you don't want to update.
4. Deleting and archiving a task template
If there are no tracked sessions for the task template, it is possible to delete it. Open the task template by clicking it on the "Timetracking" page in "Settings".
On the preview window, click the "Delete" button.
If there are already tracked sessions for the task template, it cannot be deleted because it is needed for reporting purposes. You can still archive the task template. This means it can no longer be added to new projects.
If you want to archive a task template, open the task template for editing. Follow the instructions at the beginning of this article to find out how to edit task templates. Once you have opened the task template, choose the "Archived" option and save. If you want to activate the task template, you can simply remove the selection from this field.
