Requesting annual holidays in Koho requires some preliminary work from your company's admin users. Before requesting annual holidays, check from your company's admin user if you can mark your annual holidays to Koho.


The request for annual holidays depends on the way your company is following working time: work-time clock or sessions. In this article we'll go through both ways.


1. Requesting annual holidays when work-time clock is used


You can request annual holidays on the "Cumulative shifts" tab on the "Reporting - Own sessions" page. Click on the "+Holiday" button to start requesting for annual holidays. Alternatively you can go to the "Holidays" tab and click on the "+Holiday" button.

On both pages requesting the holiday is similar. On the "Add shifts" window you can make the following definitions for the holiday:

  • Type – Holiday
  • Target – You can either use automatic allocation which automatically targets the holiday to the oldest available holiday season, or you can choose the desired holiday season from the menu. On the menu you can see the number of used holiday days / the total amount of holiday days for that season.
  • Term – Start and end date for the holiday
  • Comment – If needed, you can give a comment to the holiday request.
  • All – You can select/unselect all day selections
  • Skip holidays – This should left as selected so Koho doesn't add annual holidays for mid-week public holidays.

  


According to the Finnish Annual Holidays Act, every sixth annual holiday day should be Saturday. For this reason, you should also select Saturday from the day selection. If you are not working in Finland, please check your local legislation.  

     

On the "Holidays" tab you can see a holiday calendar where you can see the annual holidays of your colleagues. After your company's admin users have confirmed the holiday request, the holiday turns green on the holiday calendar.




2. Requesting annual holidays when working time is tracked with sessions


You can request for annual holidays on the "Unconfirmed" or "Timesheet" pages from the "+Session" button. If you only use Timesheet, add sessions to your company's internal Holiday task. Read more about Timesheet from here: 2.3. Timesheet. Alternatively you can go to the tab "Holidays" on the "Reporting - Own sessions" page and click on the "+Holiday" button.



On the "Add session" window you can make the following definitions for the holiday:

  • Customer – Choose the company which has a project for the holiday task (usually your own company). If you clicked the "+Holiday" button, the customer is set automatically.
  • Task - Choose the holiday task. Again, if you clicked the "+Holiday" button, the task is set automatically.
  • Target – You can either use automatic allocation which automatically targets the holiday to the oldest available holiday season, or you can choose the desired holiday season from the menu. On the menu you can see the number of used holiday days / the total amount of holiday days for that season.
  • Time & Hours / day - you don't need to fill these for the holiday task because they are calculated automatically.
  • Term – Start and end date for the holiday
  • Description – If needed, you can give a description to the holiday request.
  • Skip holidays – This should left as selected so Koho doesn't add annual holidays for mid-week holidays.

After saving you must accept the holiday sessions on the "Unconfirmed" page or Timesheet.
