In Koho there are two ways to create credit notes:

  1. A simple refund
  2. Creating a credit note and returning work session to processing. In this case, Koho creates a new copy of the original invoice and a corresponding credit note, deletes the original invoice and returns the work sessions to processing. Note that you must send the credit note before creating a new invoice.



You can refund invoices that are on "Unpaid", "Late", or "Paid" tabs. Click the invoice you want to refund, and then choose how you want to refund the invoice (option 1 or 2).



1. Refund


When you click the "Refund" button, Koho opens a new page where you can still make changes to the credit note. After you have made the possible changes, click the "Save" button. The credit note is generated and you can see it on the "Unapproved" tab. A text "- Credit note" is automatically added to the end of the invoice's name.



2. Refund and return work sessions to processing (wheel icon)


If you need to return work sessions back to processing when the invoice has already been sent, you can click the wheel icon next to the "Refund" button. When you press on the button, three things happen automatically:

  1.  Koho creates a copy of the original invoice where work sessions have been replaced with products and a corresponding credit note.
  2. The original invoice is deleted.
  3. The work sessions that were on the original invoice are returned to processing.
